Crew Manager's Digitalized Operations
This stage is where the Ship Manager's Crew Department has reviewed the candidates that Elvictor's Operations' Center officials have proposed, and their application is approved. At this stage, there are additional digitalization interactive procedures that follow for the safe and controlled recruitment process.
How to Lineup
Having reviewed the applicant and be secured that this applicant is above the Ship Management’s recruiting criteria and in line with their policy, the Ship Manager’s crew department decides to click the accept button on Elvictor’s SaaS Ship Manager’s intranet account. For rejection of an applicant, the Ship Manager’s crew department’s official may press the button to reject.
Seafarer’s Automated Notification
The system automatically develops pairs of compliance scenarios based on the officers’ matrix and based on the Ship Manager’s parametric requirements from the above-indexed pool.
When the seafarer is in lineup status, he is instantly informed through an HTML5 Link that he is approved. The interactive page that the seafarer receives provides information about the Ship Manager’s Company, full analytical vessel particulars of the vessel he is assigned, synthesis of the crew on board, and some other information.
Elvictor’s network office and the Operations Center receive this information in their SaaS dashboards.
For the security of the lineup’s recruitment procedure’s compliance, the seafarer, now in the lineup stage, through his HTML5 interactive page, is guided to confirm and affirm his willingness to join.
All parties are instantly informed.
After confirming and accepting his lineup, the seafarer applicant receives a series of notifications guiding him to the subsequent procedures that he has to follow for flawless recruitment.
The philosophy of the lineup stage is to have full integration and communication ease amongst all parties. Avoid bureaucracy, telephone communication, and possess evidence of compliance from all parties.
The integration between the Ship Manager and the seafarer that is lineup provides an imminent update to both parties, avoidance of electronic bureaucracy and exchange of emails, optimum timing no matter the time difference, and no delays due to intermediaries or geographical location.
Throughout the lineup process, the Ship Manager's crew department may request some customized forms to be automated and communicated to the seafarer. Simultaneously, in the SaaS Intranet, the Ship Manager's crew department may attach files that the seafarer would receive through the coded HTML5 link depending on his rank and the vessel assigned.
The best practice here is that there are monitoring and notification of all parties throughout the process. Elvictor's seafarer is not going to wait for the network office to inform him about his lineup. The current industry process is done through the exchange of emails, and when there is a time difference, the information delays over a day and the reply and update to the Ship Manager exceeds half a day. With Elvictor's digitalized procedure within seconds, all parties are informed, and there are customer and seafarer satisfaction. There is direct communication between the Ship Manager and the seafarer, which is stemmed from proven transparency.
The overall lineup and communication of files and information to the approved seafarer are fully electronically and automatically. The updates and notifications to the Ship Manager's crew department, Elvictor Operations Center and network office are also fully digitalized.
The lineup's overall process is documented with email tickers and at the same time, in a separate log file.
